Scientific Support Specialist/Client Relations

The Client Relations Specialist is responsible for life cycle management of contracts and agreements from inception through termination. This position will partner with internal departments to develop, draft, negotiate, implement and manage project contracts. The Client Relations Specialist will assist in developing and implement policies, procedures and standards for agreements in accordance with company legal requirements. 

Key Job Responsibilities:


  • Prepare quotations by using pre-existing templates and scientific support as needed;
  • Prepare amendments to quotations from final study plans and/or amendment study plans, as needed;
  • Monitor and track cost request changes;
  • Prepare proposals, compile quotations and send them to clients with tentative dates, if provided.
  • Track status of all quotations and quotation amendments;
  • Record data entry of quotations and maintain the database up to date;
  • Interact with Business Development team members and/or study directors and/or directors to clarify information and resolve any issues related to quotations;
  • Perform quality control of study outlines, quotations, database, or other documents for internal and external use;
  • Communicate on an as-needed basis with Study Directors, Study Coordinators, Technicians, Business Development, Clients, and Operations Supervisors/Managers regarding scheduling and capacity issues
  • Provide preliminary start dates for projects by responding to all queries in a timely manner to ensure business demands are met
  • Formally schedule authorized projects based on design and resource availability
  • Effectively schedule resources to ensure that individual project demands are met and are not under or over-resourced
  • Substitute and/or assist department colleagues;
  • Maximize the utilization of all resources;
  • Perform any other reasonable tasks that may be required.
