Executive Assistant

Job Summary

Seeking an energetic, responsible, accurate and friendly professional for Executive Assistant in a fast paced office environment.  We are looking for someone who is customer service and task oriented with good organizational skills, as well as excellent communication skills. Experience with Microsoft Outlook, Excel and Word along with basic computer skills are desired.

The position of Executive Assistant is the first person clients see when they come to the office.  This position is responsible for greeting and directing clients and other visitors; for screening and routing telephone calls, and as needed, performing other duties and responsibilities outlined below. 

 

Assistant to the Office Manager

  • Register employees for events and schedule their time accordingly
  • Train employees on the use of the office calendar
  • Daily updating (clients, prospects, associates, etc.)

Client Services

  • Maintain client birthday calendar
  • Mail preprinted and pre-signed cards to specific clients
  • Ensure clients receive their phone call or message from their Relationship Manager
  • Take care of all client gift giving
  • Take care of Thank You notes-ensure that all thank you notes are sent by the appropriate person in a timely fashion

Assistant to Senior Management

  • Order and pick up lunch daily as needed
  • Organize employee birthday lunches
  • Organize Free weekday employee lunches
  • Employee Anniversaries-gift card purchase
  • Administer a variety of Projects
