Client Relations Specialist

The Contracts Administrator is responsible for life cycle management of contracts and agreements from inception through termination. This position will partner with internal departments to develop, draft, negotiate, implement and manage project contracts. The Contracts Administrator will assist in developing and implement policies, procedures and standards for agreements in accordance with company legal requirements. The Contracts Administrator will also handle all Financial Aspects for Contracts. This position shall adhere to the Company's quality system including but not limited to the applicable standards, policies and procedures in the areas of responsibility defined in this job description.

Key Job Responsibilities:

  • Facilitate frequent interactions with co-workers and conduct timely problem solving meetings necessary to address critical and emerging work issues.
  • Facilitate the negotiations as well as drafting, finalizing and tracking contractual documents that may include master services agreements, work orders, change orders and nondisclosure agreements, among others.
  • Establish and maintain direct third party contacts including the on-going interface with clients regarding contractual issues during the lifetime of a project.
  • Develop policies and procedures, and standard template language to be used in contracts.
  • Develop account specific standards for contracts, including presentation of budget, payment terms, standard contract language, etc., and discuss/negotiate with clients as appropriate.
  • Responsible for all financial aspects of each project being contracted, including but not limited to, invoicing, accounts receivable tracking and posting
  • Responsible for on-going, proactive involvement with project management in review of project status, including review of contractual status to ensure compliance with contractual terms and milestones; as well as identification of changes in scope in contracts.
  • Maintain project management system to ensure accurate and up to date reporting is available for Management/Financial team, as requested.
  • Triage a heavy workflow, setting appropriate priorities with internal and external clients and delivering results within the reasonable agreed timelines.
  • Support the implementation of a contracts management system and other initiatives to streamline and enhance the contract management process.
